Microsoft Teams Tip: Get Meeting Transcripts Without Recording the Session

Remember when you had to record a meeting just to get a transcript?

Need meeting notes but don’t want to record the session?

Looking for a more privacy-friendly way to capture a meeting recap?

Check out the ‘Transcribe Only’ feature in Microsoft Teams! 💡💡

This feature allows you to capture a full meeting transcript, complete with timestamps and speaker attribution, without creating a recording file. You can then prompt Copilot or Copilot Chat to create your meeting notes and next steps from the transcript.

Step 1: Start Transcription During a Meeting
        •       Join your Teams meeting.
        •       Click the … (More actions) menu in the meeting toolbar.
Step 2: Select Transcription Option
        •       Hover over Record and transcribe.
        •       Choose Start transcription.
Step 3: Confirm Language Settings
        •       Select the spoken language for the meeting if prompted.
        •       Click Confirm to begin transcription.
Step 4: Confirm Transcription
        •       Participants will see a notification that transcription is active.
        •       Just like recording, make sure your participants are aware of and agree to transcription before starting.
Step 5: Access Your Transcript After the Meeting
        •       Once the meeting ends, the transcript will be available in the meeting chat or details, with no recording required.


Alternate: You can also set Transcription when Scheduling a Meeting:
        •       Open Meeting options before the meeting starts.
        •       Under recording and transcription settings, select: Transcribe only

⭐⭐Use Copilot Chat to Turn Your Transcript into Meeting Notes ⭐⭐

Once your meeting transcript is available, you can use Copilot or Copilot Chat to quickly generate a polished summary and next steps.

Recommended Steps:
        •   Following the meeting, you can download the transcription as the meeting organizer.
        •   Share the transcription file with Copilot Chat.
        •   Ask Copilot Chat to summarize and extract key outcomes.

Example Copilot Chat Prompt for Meeting Recaps:
“Summarize this meeting transcript into a concise executive summary. Include key discussion points, decisions made, and a clear list of action items with owners and due dates if mentioned, in a table format.”
